Business automation in Islamabad

We automate the approvals, reports and reminders that Islamabad organisations still run through email chains, WhatsApp groups and Excel, working from our office in E-11. Every step records who did what and when, because here an audit is usually on its way.

Business Automation for Islamabad

In Islamabad much of the work worth automating is paperwork someone will later inspect. A purchase under a grant needs comparative quotations and the right signatures before money moves. A monthly report to a donor is stitched together from field spreadsheets. A travel advance passes across three desks and is settled weeks later against receipts. Programmes, NGOs, consultancies bidding for development work and companies answering to the SECP or PTA all carry this load, and it typically runs on a forwarded email, a thumbs-up in a WhatsApp group and a spreadsheet only one person understands.

Automation here has a clear test. When an auditor or a donor’s monitor asks why a supplier was chosen or where a figure came from, the system should answer without anyone digging. So we build workflows that route each request to the right approver by amount and budget line, attach the quotations and receipts, record every decision with a name and a time, and generate recurring reports straight from the data. Notifications can still arrive on WhatsApp, where people actually read them; the approval itself lives in the system.

Islamabad also has a tax wrinkle worth designing for. Sales tax on services in the capital territory is collected by the FBR, while next door in Rawalpindi the Punjab Revenue Authority collects it, and a services business working across the twin cities can deal with both. Which regime applies to an invoice is for your tax adviser to say; applying it consistently is a job for the software. Because our office is in E-11/2, mapping your process can mean sitting with your finance or programme team for a morning, which is where the undocumented steps come out.

§ 02

What is specific

Built for Islamabad

  • Procurement that survives a grant audit

Requisition, comparative quotations, approval by limit and budget line, purchase order, goods received note and payment, each step attached to the one before. Nothing moves without the documents your policy requires, and a complete procurement file can be produced for an auditor in minutes instead of being rebuilt from inboxes.

  • Donor reports built from the data

Monthly and quarterly reports are assembled from field and finance data on a schedule, laid out to the donor’s template, then held for a named reviewer before they go out. Late submissions from district offices are chased automatically, and every figure in the report links back to the records it came from.

  • Invoices that know which side of the boundary they are on

For businesses serving clients in both Islamabad and Rawalpindi, invoicing applies whichever services sales-tax treatment your adviser has set for each client and service, with numbering, tax lines and PDFs generated the same way every time, so the monthly return starts from clean data.

Scope

What we build

Project delivery, owned end to end, for Islamabad clients.

  • Procurement workflows from requisition to payment, with comparative quotations, approval limits by budget line and every document attached
  • Scheduled donor and management reports generated from field and finance data, signed off by a named reviewer before release
  • Travel, leave and advance requests with approvals, settlement against receipts and reminders for anything outstanding
  • Invoicing and receipts that apply the right services sales-tax regime per invoice for the capital territory and Punjab, as your adviser directs
  • Instalment reminders, receipts and defaulter lists for housing societies, sent by SMS or WhatsApp and matched to bank deposits
  • Bank reconciliation that matches IBFT and Raast receipts to invoices and flags the ones a person needs to look at

Business Automation in Islamabad: common questions

Can you sit with our team and see how the work is really done?

Yes, and we prefer to. Our office is at Zafar Heights on Main Double Road, E-11/2, so reaching you anywhere in Islamabad or Rawalpindi is a short drive. The written procedure and the real process are seldom identical, and the differences tend to surface in the first hour of watching someone do the job. That is the version we automate.

Our approvals happen in a WhatsApp group. What is wrong with that?

Speed is not the problem; the record is. A thumbs-up in a group is hard to find a year later, is not tied to the document it approved, and can vanish when someone changes phone. We keep WhatsApp for alerts, because that is where people look, and record the approval itself in the system with the approver, the time and the exact version they saw.

We are donor-funded. Will the donor accept reports produced this way?

We build to the donor’s template and your results framework, keep every figure traceable to its source, and hold each report for a named reviewer before it is sent. Acceptance is the donor’s decision, not ours, but a report built this way is far easier to explain when a monitor starts asking where a number came from.

Do you use tools like Zapier, or build everything custom?

Whichever is cheapest to run well. Hosted tools are fine for simple connections, though their dollar subscriptions add a foreign-currency cost some organisations would rather avoid. A self-hosted option such as n8n, or a small custom service, often suits better where data has to stay under your control. We recommend per workflow and set out the running cost in advance.

How soon would we see something working?

A first workflow is scoped to go live in weeks, because we start with one process instead of a programme of change. Procurement approvals or a recurring report are sensible first choices, since the pain is obvious and the result is easy to measure. Once that runs well, the next process is quicker to scope because the groundwork is already in place.

Business automation in Islamabad?

Tell us what you are building. A senior engineer reads every enquiry, and being registered in Islamabad means meeting in person is a short drive rather than a flight when a decision needs one.

  1. 01A senior engineer reads it. Not a form queue, and not an account manager.
  2. 02We reply either with questions or with a straight answer that we are not the right fit.
  3. 03If it looks like a fit, a technical call with the person who would actually run the delivery.
  4. 04Then scope, effort and risk in writing, before anyone signs anything.

Two fields required. We reply to real enquiries. No list, no sequence.
