Business automation in Karachi
We automate the paperwork that slows Karachi’s importers, forwarders, distributors and finance teams: chasing documents, watching free days at the port, preparing scheme claims and reconciling large volumes of receipts. We work from Islamabad and fly down when a room is needed.

Business Automation for Karachi
A container at Karachi’s ports has a clock on it. Once the free days run out, demurrage and detention charges start, and whether they do often depends on whether a document arrived from the supplier, the shipping line or the clearing agent in time. In many trading and forwarding firms, keeping track means a spreadsheet of arrivals, an inbox full of attachments and staff ringing agents to ask what is missing. Automation can watch every shipment’s dates, check its documents against a list, chase what is outstanding and warn someone days before the charges begin.
Distribution businesses carry a different stack of paper. FMCG and pharmaceutical distributors claim trade schemes, damaged stock and near-expiry returns from their principals, and each claim needs invoices and evidence assembled in the principal’s format. Order bookers send orders by WhatsApp that someone keys in again. Finance teams match large numbers of IBFT, Raast and mobile-wallet receipts to invoices by reading narrations, and in banks, microfinance providers and other SBP-regulated firms every automated step also needs a maker and a checker. All of that is repetitive and rules-based, which is exactly where automation pays.
We serve Karachi from our Islamabad office and have no office in the city. Workshops run over video with your real documents on screen, and we fly down for the sessions where seeing the operation matters, such as a warehouse or a document desk at its busiest hour. Karachi’s power cuts and heat also shape the design: every scheduled job is built to resume where it stopped after an outage and never to post the same receipt twice. Service invoices follow the Sindh Revenue Board’s regime, plus other provinces where you trade nationally, as your adviser directs.

What is specific
Built for Karachi
Free days that raise their own alarm
Each shipment carries its arrival date, free-day allowance and document checklist. The system chases missing papers from suppliers and agents, warns the right person before demurrage or detention begins, and sends customers status updates from real milestones, so staff are not writing the same status email all day.
Claims assembled for the principal
Scheme, damage and expiry claims are compiled from your sales and stock data with the supporting invoices attached, in the format each principal expects. Nothing is left for the last week of the quarter, and you can see at a glance which claims are submitted, approved and paid.
Reconciliation with maker-checker built in
Receipts arriving by IBFT, Raast, JazzCash and Easypaisa are matched to invoices on narration, amount and reference, with anything uncertain routed to a person. Every adjustment needs a maker and a checker, both recorded, which suits audited businesses and SBP-regulated firms alike.

What else we build in Karachi
Business Automation in Karachi: common questions
Can you really automate our work from Islamabad?
Yes. Process mapping works well over screen share with your actual spreadsheets and inboxes open, and the automation itself runs on servers, not in anyone’s office. We are in the same timezone, invoice in rupees under a Pakistani contract, and fly down when a visit is worth it. We have no Karachi office and will not pretend to.
Our clearing agent and shipping line send everything by email. Can you automate around that?
Yes. We read incoming mail on a dedicated inbox, recognise the shipment from its references, file attachments against the right shipment and tick them off its checklist. Anything the system cannot place confidently goes to a person. Your agents do not need to change how they work, which is usually the only realistic option anyway.
Our firm is SBP-regulated. Can automation meet our control requirements?
It can be built to the controls your compliance function specifies: maker-checker on every sensitive step, permanent logs of who did what, restricted access and a clear record of where data is processed. We do not decide what your regulator requires. We make sure the automation enforces the controls you have set, and can show that it does.
What happens if the power goes out halfway through a run?
Nothing should be lost or duplicated. Each job records its progress, so after an outage it resumes from the last completed step, and every posting carries a unique key so a retried job cannot record the same receipt twice. Because outages are part of running a business in Karachi, we test this deliberately instead of hoping it holds.
Where should a trading or distribution business start?
With the task where a missed step costs money directly. For importers that is usually demurrage; for distributors, schemes that never get claimed. Both are easy to measure, so you can see within a quarter whether the automation is paying for itself. After that, reconciliation tends to be the next biggest drain on staff time.
Business automation in Karachi?
Tell us what you are building. We work with Karachi clients from our Islamabad office, same timezone and same currency, with no account manager in between, so the person who reads this is the one who would run the work.
- 01A senior engineer reads it. Not a form queue, and not an account manager.
- 02We reply either with questions or with a straight answer that we are not the right fit.
- 03If it looks like a fit, a technical call with the person who would actually run the delivery.
- 04Then scope, effort and risk in writing, before anyone signs anything.
